School Manager Dashboard

The School Manager Dashboard page provides real-time visual analytics of visitor check-in and check-out data, offering valuable insights into system usage and visitor activity. This guide will walk you through the various sections and features of the Dashboard.

Accessing the Dashboard

Within the School Manager, click on the Dashboard option on the left underneath Reports

Dashboard Sections


At the top of the Dashboard, you'll find quick links for navigation and additional features:

  • Refresh Dashboard: Click to refresh the data displayed on the Dashboard.
  • Activity Report: Navigates to a detailed activity report.
  • Monthly Report: Navigates to a monthly summary report.
  • Open Live Map: If your account has an Enhanced Visitor Management license, clicking this link will open the full Crisis Alert map page, providing a more detailed view of tracked visitors.

Activity Summary

This section provides a high-level summary of check-in activity:

  • Check-ins: The total number of check-ins recorded by the system. Clicking this will take you to the Activity Report.
  • Check-ins Only: The number of visitors who have checked into the system but have not yet checked out. Clicking this will take you to the Activity Report with the ‘check-in only’ filter applied.
  • Jiffy Pass Active Check-ins: (If applicable) The number of active check-ins using the Jiffy Pass feature.
  • Top Badges Check-ins: Lists the most frequently used badge types for check-ins (e.g., Visitor, Tardy, Volunteer).

PowerSchool Integration

This section displays data related to the PowerSchool integration, specifically focusing on writebacks for student check-in/check-out badges:

  • Check-ins: The number of PowerSchool writebacks that have occurred for student check-in badges, such as the 'Tardy' badge.
  • Check-outs: The number of PowerSchool writebacks that have occurred for student check-out badges, such as the 'Early Departure' badge.

Top Stations

This section lists the names of the visitor management stations that are most commonly used for check-ins and check-outs. Clicking a station name will navigate you to a remote version of the station. Stations listed here are sorted by time of creation.

Enhanced Visitor Management

This section provides key metrics related to the Enhanced Visitor Management feature, primarily in conjunction with the Crisis Alert map:

  • Check-ins: The number of check-ins that are currently being tracked on the Crisis Alert map.
  • Average time on site: The average duration that tracked visitors have spent on site.

Note: If your school has an Enhanced Visitor Management license, a minimized version of the Crisis Alert map will be displayed in the top-right corner of the Dashboard. You can click "Open Live Map" from the Quick Links menu to view the full map page.

Visual Analytics: Pie Charts

The Dashboard features three interactive pie charts that provide visual analytics of real-time usage. If you hover over the colored portion of a donut, a count and percentage will appear.

Check-Ins by Badge

This donut chart illustrates the distribution of check-ins based on the "badge type" selected by visitors during their check-in process. A "badge" represents an option or category a visitor chooses when checking into the system (e.g., Visitor, Tardy, Volunteer, Staff).

Check-Outs by Badge

Similar to the check-ins chart, this donut chart shows the distribution of check-outs based on the "badge type" selected during the check-out process.

Sex Offender Check Notifications

This donut chart provides a visual summary of the outcomes from the integrated sex offender check performed on visitors upon check-in. The system flags visitors, and an administrator can then take action to approve, deny, or cancel their check-in.

  • Green (Approved): Indicates that a flagged check-in was approved by an administrator.
  • Red (Denied): Indicates that a flagged check-in was denied by an administrator.
  • Yellow (Canceled): Indicates that a flagged check-in was canceled by an administrator.

Peak Time for Check-Ins

This bar chart displays the peak times for check-ins throughout the day, helping you identify busy periods for visitor management. The y-axis represents the number of check-ins, and the x-axis represents the hour of the day.

The Dashboard page offers a powerful and intuitive way to monitor and understand visitor activity within your school. We encourage you to explore its features and utilize the insights it provides for efficient school management.
