What is the Volunteer App?

CENTEGIX Visitor Management provides a Volunteer App that allows Districts to manage all volunteers, approval statuses and expiration dates through one portal. The Volunteer App also digitizes all volunteer background check forms, allowing you to easily gather volunteer information to be processed without messy handwritten forms. The Volunteer App also provides integrations to process volunteer background checks through SterlingVolunteers and customers can have multiple versions of the form in different languages.


What is SterlingVolunteers?

Sterling Volunteers is a company that is focused on helping organizations reduce the time and cost associated with volunteer screening. SterlingVolunteers reprocesses background checks each month to provide you continued updates on your volunteers for one year. Districts choose the packages for background checks that meet their needs and choose who will pay for the check. The customer must contract with SterlingVolunteers directly for background check fees.


How does the integration work?

  1. Volunteer fills out a digital Volunteer Application.
  2. App is then sent to SterlingVolunteers
  3. Sterling requests additional information from the Volunteer
  4. Background check processed.
  5. CVM’s Volunteer App receives status updates
  6. Authorized volunteers added into CVM 
  7. CVM receives status updates throughout the year, including renewals
  8. Expired Volunteers are automatically removed

Please note: To integrate with Sterling Volunteers, all volunteer applications must originate from Centegix Volunteer App. We cannot receive status updates on background checks if they are processed directly within Sterling. Originating with Centegix gives us authorization to monitor their status and receive updates. 

Do I need to be a customer of SterlingVolunteers to use the Volunteer App?

No. The Volunteer App is available to any customer who would like a portal to manage volunteers in more detail than the District or School manager is able to. Volunteer coordinators need a way to capture volunteer information digitally and this eliminates the need for manual entry. This information can be exported and imported into your background check provider of choice. 

Can I import a list of current Volunteers?

Yes. You can import a list of current, active volunteers, with their expiration dates and statuses to the Volunteer App by emailing the list to Support@centegix.com.


Can I customize the background check form to include a signature or other information?

Yes! Background check forms can be tailored to collect any information you need, including references and signatures. If you have a form in another language, please send this to us and we may digitize it as well. If you are processing background checks through SterlingVolunteers, please know, they will capture all consent and authorization from the Volunteer before processing the background check. It does not need to be on our form.


How much does the background check cost?

Background check costs are determined by what level check you are performing and quantity processed. Please email Sales@centegix.com and we will get you in touch with your SterlingVolunteers rep to provide pricing. As the customer, you have the option to pay for the checks, have the volunteer pay, or even allow them to optionally contribute towards the cost. SterlingVolunteers estimated when given the option, 30% of volunteers optionally pay for this check. Centegix does not include these checks in our contract.


How often are re-screenings done?  Does the screening expire?

Background screenings that are approved will last for one year.  You are able to change this expiration to a time that works best for you. If importing your own volunteer list, you may set the expiration you desire per volunteer. If processed through SterlingVolunteers, volunteers are rescreened monthly for one year. 

What are the requirements to integrate with SterlingVolunteers?

To use the Volunteer App with SterlingVolunteers integration with CENTEGIX Visitor Management you must have an Enterprise (District) account with us and purchase the Volunteer App. For seamless integration of background check statuses from Sterling Volunteers, you will also need to contract directly with Sterling for background checks.
